Scanning should be simple. At ScanZen, we believe that by digitizing your documents, you can create a clean, organized office space that will help you achieve Zen. If you’ve been following our journey together, you already know the benefits of a well-managed space. But seldom has a day passed without Joi expressing interest in continuing her message to improve efficiency and peace of mind! Here are a few simple steps you can take to begin:
An orderly workspace saves you time. What are your organization and filing habits? In some instances, a bit of unorganized filing is acceptable as we all get busy and it can’t be helped. But, over time, things may fall into disarray. Take a few minutes each week to compile your outstanding documents and scan them into digital files where you’ll be able to search and find them easily. Just knowing that you can easily retrieve any document you need will help you achieve Zen.
Never underestimate a blank slate. A cluttered desk leads to a cluttered mind and can make it difficult to concentrate on the task at hand. A clean, organized desk enables creativity and focus allowing you to complete tasks without distraction as well as opening your mind to great ideas that could improve your business!
Everything has its place. Consider organizing your desk into separate, designated work areas. You’ll want your computer and phone on the main desk along with frequently used items such as pens, scissors, tape, a stapler, paperclips – all organized in accessible containers. Designate an area for other items less commonly used such as extra supplies and spare power cords. Keep a basket to use as an inbox which will hold to-do paper work. Once you’ve processed the paper work, scan those documents and save them digitally in your computer. Then you can shred and dispose of the paper to eliminate the amount of piles and files in your office.
Of course, the above list is by no means exhaustive as there are many ways to keep your office space in a Zen like state. Your pursuit of Zen is a lifelong quest, in which you will hopefully find your own best practices for a clean, organized workspace. It is our pleasure to assist you in your pursuits along the way.
